Getting Started: Scanning at Geneseo

This article offers instructions for scanning through two distinct methods: the preferred method featuring the Pharos cloud software interface and the secondary method using the Toshiba interface. Both methods will create a PDF document.

Primary Scanning Method

Before scanning to OneDrive or SharePoint, you must complete the one-time authentication.

Pharos Secure Scan cannot create searchable PDFs.

There is a 25MB limit for email attachments, and scans with many images or pages could require using Scan to OneDrive as described below instead of email

 

Accessing Pharos Secure Scan

  1. Users need to authenticate at a physical printer using their: passcode, Geneseo ID card, or mobile device.

  2. Select Scan Document and place the document in the automatic document feeder (ADF) or on the scanner glass.

  3. The Scan Options screen appears, allowing users to choose their preferred scan options if the default settings are not ideal.

    1. There are many options to choose from, just be sure to double-check these settings before hitting Done! Preferences are not saved for the next scan.

  1. Once you have chosen your scan settings, choose Done.

  2. You have the option to choose between scanning to your Geneseo email address or to your Geneseo OneDrive.

    1. Scanning to a Geneseo email - Change the "To" address to the desired email destination.

      1. Once you are ready to send the scan, choose Scan Document

    2. Scanning to your Geneseo OneDrive

      1. Since you have already securely authenticated to the printer, you can scan your documents directly into your Geneseo OneDrive from a physical printer.

      2. Simply choose the correct location or folder for your document to be uploaded to. You can even create a new folder in your OneDrive!

      3. Once you are ready to send the scan, choose Scan Document.

Accessing Toshiba Scanning

In order to access the Toshiba scanning, users need to authenticate at a physical printer with either their passcode, Geneseo ID card, or their mobile device.

Toshiba scanning can turn physical documents into digital PDFs, however, Toshiba scanning does not have the ability to create searchable PDFs. Please note that there is a 25MB limit for email attachments, and scans with many images or pages could require using Scan to OneDrive as described below instead.

  1. Once authenticated, you will be presented with the following screen

     

  2. Choose More Device Functions

  3. Press the Scan icon on the LCD screen, or press the access icon then press the Scan icon on the LCD screen

  4. Press the E-mail button on the touchscreen

  5. Press the number pad icon on the touchscreen

  6. Enter an email address on the touch screen, then press OK

  7. Press OK

  8. Insert the document into the auto feeder (text facing up) or on the flatbed (text facing down)

  9. Press the Green start button on the keypad or the Green Scan button on the touchscreen

  10. The copier will now scan all pages in the auto feeder or prompt for additional pages if using the flatbed
             a. If using the flatbed press Job Finish if no more pages
             b. If scanning additional pages, place them on the flatbed and press Green Scan on the touch screen or the Green start button on the keypad
             c. When finished scanning additional pages press Job Finish on the touch screen

  11. Press the Access key on the keypad and select Yes on the touch screen to logout or wait 45 seconds

  12. The scanned document should show up in your email inbox shortly
