How name changes work

Geneseo allows all account holders to change their preferred display name across all of our services. 

Employees

If you would just like a different name displayed in Google, the campus directory and other services please fill out the appropriate form with Human Resources. Human resources handles both legal and preferred name changes. Once the name change is processed with HR, the changes will show up in our systems within 24 hours.

If you would like to have your account username and email address reflect your new name, keep reading, you will need to follow the steps below.

Students

For legal and preferred name changes you must contact the Registrar's office. Once the name change is processed with the registrar, the changes will show up in our systems within 24 hours.

Please note that due to the way Google saves the names of people you have previously corresponded with name changes are often not reflected in the emails with people that have previously corresponded with you. They will need to delete their entry for you in their google contacts list to get your updated name.

Changing your username & email address

Changing your username is a very complex process. Please familiarize yourself with the following process. The entire process will take at least a week and possibly longer.

Steps

  1. Make sure your paperwork with the appropriate office is complete.

  2. Request a new account for your new name.

    1. CIT will ensure your new account has the same Active Directory memberships as your old account.

  3. Once your new account is created, your account credentials will be shared with you and, if you are an employee, your TSP will be notified. Your TSP will set up a time to meet with you to help change all of your devices to use your new account. Students can complete these steps themselves or can visit the HelpDesk for assistance. Some of the things they will go over:

    1. Setting up an email forward from your old account to the new one.

    2. Moving your mail

    3. Moving your calendar
      Resources: Google Calendar 

    4. Moving the data on your computer

    5. Moving Google Drive

    6. Google groups

Other things to consider

External Mailing lists

Anything you have subscribed to with your old email address will need to be updated to use your new email address. This includes Geneseo Google Groups that you may be a member of.

Google Groups

Be sure to add your new account as owner of any Google Groups your old account owned.

Calendar Meetings

You will need to contact the owner of any recurring meetings you attend to invite your new account to those meetings and remove your old account

Other services

Other departmental specific services such as EMS, Library ERES, etc.
