This article will show you how to export and download data from your Google account.

Google Takeout provides a convenient way to export and download copies of various data types stored in your Google account, including files from Drive and emails from Mail. You can save this data locally on your computer or upload it to a third-party cloud storage service for safekeeping.

Note: The time it takes to create a Google Takeout archive depends on the number and size of the files you requested and the type of data. Export size is limited up to 50GB. https://support.google.com/accounts/answer/3024190?hl=en

Mail

  • Log into your SUNY Geneseo Google Account

  • Go to Google Takeout.

  • Select Deselect all to uncheck all services.

  • Scroll down and check Mail/Calendar/or any Google Product listed.

  • Scroll down to the bottom and click the Next step image-20250228-174144.png button.

  • Choose the file type, frequency & Destination

    • Select the file type from the drop-down arrow

    • File Type: .zip

    • File size: you can choose from 1 GB, 2 GB, 4 GB, 10 GB or 50 GB.

      • Exports larger than the size you choose will be split into multiple files.

  • Click Create exportimage-20250228-174748.png to start the process.

    • This will create a backup of all your emails. Accounts with many emails will take a long time - even days.

  • The export process will show that it is creating a file and will email you when the export is completed.

  • The file that is saved can be imported into an email client like Thunderbird or Mac Mail

  • If you have chosen to receive a download link via email, open the email with the subject "Your Google data is ready to download" and click Download your files

    1. A browser will open to a Google sign-in page. Click Continue and sign in with your UT email and password. 

    2. The .zip file will automatically download after you sign in. Click on the download in the lower-left corner of your screen and save the file to your desired location.
