Delegate print is a feature within Pharos Beacon that gives users the ability to grant another Geneseo user permission to securely release their print jobs at the physical printer on their behalf either on a one-time or ongoing basis.

How does it work?

You can view your print jobs and grant another Geneseo user account(s) permission to print either an individual and specific print job once or to securely release all of your print jobs on your behalf on an ongoing basis, known as auto delegate. Once you have delegate or auto delegate set up, that delegate user would be able to walk up any printer on campus, swipe their Geneseo ID card, or authenticate with their Geneseo user account, and be able to see and release your print job(s).

Viewing Your Print Jobs

Once the Pharos setup is complete, the Pharos Secure Release is also installed

  1. Pharos Secure Release can be launched in the following ways:

    • WINDOWS: At the right end of the Windows taskbar, there is an up arrow (^), click this to open a small window and choose the printer icon to launch the queue

    • macOS: In your Apple menu, on the upper right side, you can choose the printer icon to launch the queue

  2. This application opens in a new window and allows you to see the print jobs you have pending to print, any delegated print jobs or users, and also has menu options for resetting your passcode

Setting and Managing Delegates

You can either configure an auto delegate or you can set a delegate per individual print job. An auto delegate is a user who will automatically be able to see all of your print jobs when they scan their Geneseo ID card at the printer to authenticate. Setting a delegate per print job allows you to selectively set a delegate for that job only and will not grant them access to all of your print jobs on an ongoing basis.

How to set a One-time Delegate:

  1. Open the Pharos Secure Release application by searching for it on your macOS device via Spotlight (magnifying glass icon) or your Windows device via the Start menu.

  2. Select the job you would like to delegate and choose Delegate.

  3. Enter the full Geneseo email address of the user you would like to delegate to and choose Add, then Save. You can configure multiple delegates, but you must add their email addresses individually at this step.

  4. Those users can now release your print jobs on your behalf by authenticating with their own credentials at the printer.

To remove a delegate user, simply follow the steps above but instead of adding a user, click on the user you would like to remove from the list and choose the ⓧ icon next to their name. Remember to save!

This is a one time configuration. You will need to add new delegates manually to other print jobs as needed.

How to set an Auto Delegate:

  1. Open the Pharos Secure Release application by searching for it on your macOS device via Spotlight (magnifying glass icon) or your Windows device via the Start menu.

  2. Click on the hamburger menu icon in the upper right corner of the Pharos Secure Release window and choose Auto Delegate

  3. Turn on the toggle to allow auto delegation of your print jobs and then enter the full Geneseo email address of the user you would like to delegate to and choose Add, then Save. You can configure multiple delegates but you must add their email addresses individually at this step.

  4. Those users are now configured to be delegate users for all of your print jobs on an ongoing basis. You must remove delegate access in order to prevent them from being able to see and release jobs on your behalf.

To remove an auto delegate user, simply follow the steps above but instead of adding a user, click on the user you would like to remove from the list and choose the ⓧ icon next to their name. Remember to save!
