Using Technology in the College Union Ballroom
This article is about the technology in the Ballroom and how to use the system.
Before You Start
Make sure you bring any needed VGA/HDMI to USB-C adapters if your laptop doesn’t have native full-size ports.
Make sure you bring any needed USB-A to USB-C adapters if you plan on streaming or recording to a laptop using the Vaddio Conference Bridge device located in the balcony.
Main System with Projector
Most users will utilize the A/V system in the Ballroom in its Presenter Mode which is its basic operation.
Turn on the system at the Extron Touch Control Panel on the stage.
Connect your laptop to the Wall Plate on the stage with HDMI or VGA/Headphone Audio. Note: Due to the length of the connection from the Wall Plate to the AV equipment in the balcony, MacBooks sometimes need to use an adapter and the VGA connection.
Select Wall Plate as the input on the Extron Touch Control Panel to send the signal to the Projector.
Audio from a laptop can be controlled by a small mixer on top of the AV system rack on the stage. Increase the volume on the Video In/Video Sound channel and the Master/Main L+R channel until sufficient volume is heard in the room.
There is a microphone that is normally connected at the podium for voice support and that volume is controlled by the Podium Mic/Automix 1 Stage channel.
If no audio is heard from the system with the settings correct, check the Audio Control settings on the Extron Touch Control Panel. The system should be set to Presenter Mode and a green “01” can be seen through the door of the AV rack on the stage.
A/V Matrix
The Ballroom system has 4 displays on the wall, a projector, and also a USB Audio/Video capture device in the balcony. Any signal from any input can be sent to any of the outputs with the Extron Matrix switcher.
Press Video Matrix on the Extron Touch Control Panel on the stage or in the balcony.
Select any of the inputs at the top of the display and select an output that you would like to send it to.
Wall-mounted Displays (Local Connection)
The wall mounted displays can receive signals from the main system but also can be operated independently of the system with the Extron Touch Control Panels located below each of the displays.
Plug a HDMI cable into the jack located below the TV and select Wall Plate on the Extron Touch Control Panel.
When use of the display is complete, press Main Display to return use of the display back to the main system.
Streaming/Recording
Audio and Video from the Ballroom A/V system can be streamed via the Vaddio A/V Conference Bridge that is located in the balcony.
Connect the blue USB cable located on top of the A/V rack in the balcony to your laptop.
Make sure the system is set to Presenter Mode in Step 6 of “Main System with Projector” above.
Press the Video Matrix button and select your desired input where signal is connected to in the Video Input Select section at the top of the display.
Press the USB button in the Video Output Select section to send that signal to the Vaddio A/V Conference Bridge USB connection.
Set your Microphone and Camera to A/V Conference Bridge in your streaming/conferencing software.
