Pharos Cloud Printing at Geneseo

 

What is Pharos Cloud?

Pharos Cloud is our print management solution on campus. The primary benefit is that by printing to the Pharos Secure Printer, you are able to release your print job at any Toshiba printer on campus. Using the Pharos Secure Printer secures our printing environment by requiring you to release your print job by authenticating at the printer.

Tips

  • You can authenticate at the printer using your Geneseo ID card, Pharos Passcode, or Geneseo key fob.

  • Documents printed to the Pharos Secure Printer will remain in the queue for 2 days before they are automatically deleted.

  • Default print settings are black/white and duplex. To change this to color and(or) simplex, use the system print dialog options when you are submitting the job to the Pharos Secure Printer.

How to use Pharos Cloud and Pharos Secure Print

You can choose to install the Pharos Secure Print application on your Windows, macOS, Android, and iOS devices to print on campus or you can upload your jobs into a web portal via a web browser.

Uploading Print Jobs to Pharos Cloud

To upload your jobs to the Pharos Cloud Web Portal go to: go.geneseo.edu/printing. Log in with your Geneseo email and password and begin uploading your print jobs. If you have a file type you would like to print that is not in the list below, consider printing it first as a PDF on your computer and then sending it to the Pharos Cloud Web Portal.

Installing the Pharos Secure Printer  

For Faculty and Staff that have a college-owned computer, Pharos Secure Print will automatically be installed on it. When looking at your installed printers, you will see the Pharos Secure Printer and any personal or home printing queues. We suggest making the Pharos Secure Printer your default printer.

To verify that the program is installed:
Mac users can check in the Applications folder for Pharos Secure Release and Pharos Secure Release Setup Guide.
Windows users can check the Start menu for Pharos Systems International and then see Pharos Secure Release Document Management and Pharos Secure Release Setup Guide.
If you see those, then Pharos is already installed and all you need to do is send a job to the Pharos Secure Printer queue. (See below for first time printing instructions.)

For personal computers, you will need to manually install the Pharos Secure Print client on your computer before you can print. Please reference Installing Pharos Secure Printer for instructions on how to download and install this client on your personal Windows and macOS devices. 

If you accidentally delete the Pharos Secure Printer after it has been previously installed or if the printer is missing, please restart your computer and login. After a few moments, the printer should recreate itself. 



The first time you print to the Pharos Secure Printer, an application called Pharos Setup Guide will launch. Login to this application with your credentials to begin printing. You do not need to configure anything within the setup guide. We have done this for you as part of the implementation. You will be presented with a system generated passcode that you can use to release your jobs at the printer in addition to being sent the passcode via email. Please save this passcode for future reference. 

How to View Your Submitted Print Jobs

In addition to Pharos Secure Printer and the Pharos Setup Guide being installed, a third application is installed called Pharos Secure Release.

  1. Pharos Secure Release can be launched via the following ways:

    1. Search for Pharos Secure Release within your Start Menu (Windows), Applications folder (macOS), or Spotlight (macOS)

    2. In the right end of the Windows taskbar, there is an up arrow (^), click this to open a small window and choose the printer icon to launch the queue 

    3. In your Apple menu, in the upper right side, you can choose the printer icon to launch the queue

  2. This application allows you to see the print jobs you have pending to print, any delegated print jobs or users, and also has menu options for resetting your passcode

Authenticating and Releasing Your Print Jobs

All print jobs will now utilize secure release. Secure release allows for printing of confidential information in a secure workflow. All users will be required to authenticate at the physical printer before any print jobs can be released and printed. 

There are three ways to authenticate at the printer:

  1. Tap your Geneseo ID card on the printer “ID Card” reader

  2. Enter a system generated passcode by interacting with the LED screen at the printer

  3. Configuring and using mobile release with an Android or iOS mobile device (Coming soon)

Once you have logged in, you can choose to Print All of your pending documents or you can choose Review Documents to selectively print individual prints or delete duplicate or unneeded print jobs.

Using a Toshiba Printer for Scanning and Copying

You will need to authenticate at the physical printer that you wish to scan or make copies on. You’ll then be presented with the screen above:

  • To access the Toshiba device for features like copying or scanning to an address in the address book, choose More Device Functions.

  • To use Pharos to scan to your own email or to OneDrive, choose Scan Document. Please reference Pharos Secure Scan for additional information on how to use this feature and how to change the default scan settings.

Troubleshooting Pharos Cloud Printing

Jobs appear in the Pharos queue at the printer, but they are not being printed

If your jobs are not being printed successfully and your job disappeared, please check the printer supplies information by following the section below. Once the underlying issue has been resolved, you will need to resend your job to the Pharos Secure Printer.

Checking Supplies Status on Pharos Printers

Pharos does not pop up alerts if a printer runs out of paper, or toner, or is in an error state. If you are unable to print, these would need to be checked manually to rule out a problem. Please follow these steps to check these:

  1. Log into the printer

  2. Press More Device Functions

  3. Press Job Status

  4. Press the Toner and Supply Tabs to confirm the printer has paper and toner.

If you can confirm the printer has paper and toner, but still cannot print, please reach out to the CIT HelpDesk at 585-245-5588.

Registering a new Geneseo ID card or a key fob

You can self-register your new Geneseo ID card or key fob device at any Pharos Toshiba on campus. 

  1. Make sure you have signed into the Pharos Setup Guide on your computer and that you were given a 6-character passcode.

  2. Swipe your new Geneseo ID card or key fob at the printer.

  3. Enter your 6-character Pharos passcode when prompted.

  4. Your new Geneseo ID card or key fob is now tied to your account and may be used for future authentications.
