Google Account Delegation
Google account delegation is the recommended method for accessing Geneseo sponsored accounts (department accts, student org accts, club accts, etc.)
What is Google Account Delegation?
Google account delegation lets you give someone access to your Gmail so they can help manage your inbox without sharing your password.
Why do we use it for sponsored accounts?
It’s more secure, because an account password is never shared
Access can be removed anytime
Delegates can’t change the security settings
Workspace admins can audit delegate activity

Add or Remove Account Delegation Access
To add or remove Delegate Access on a sponsored account (department acct, club acct, Organization Acct, etc.), please submit a request through CIT
Once this form is submitted a ticket is created and a notification goes to the account manager requesting their approval
The account manager then approves or rejects the changes
If the changes are approved then the user(s) listed are either added or removed from the account
After a user is granted delegate access, they can open the delegated mailbox by clicking their profile icon in Gmail (upper right corner) and selecting the delegated account from the menu that appears
Account Delegation only works with other geneseo.edu accounts and can take up to 30 minutes to show up under the users list of available accounts in Gmail.
How to Delegate Access to a Calendar
Share Your Calendar lets you share a calendar you have Manage Sharing rights on.
In Google Calendar, you can share any calendar you own or one you have permission to share. When you share your calendar with someone:
You can control what they can find and do on your calendar.
They get an email. To find your calendar, they need to click the link in the email.
You can stop sharing your calendar whenever you want.
Choose what people can do with your calendar
See only free/busy (hide details): People can only find out when you're busy. They can’t find out event names or details.
See all event details: People can find all the details, like event names, times, places, and descriptions.
If you set an event as “Private,” they can’t find its details.
If the “See guest list” permission isn't on, they can’t find who else is invited.
Make changes to events: People can edit events on your calendar and find who else it’s shared with.
Make changes and manage sharing: People have full control of events on your calendar. They can:
Add new events.
Change or delete events.
Change who the calendar is shared with.
